State Champs! Sports Network and Yellow Flag Productions, LLC (“State Champs,” “we,” “us,” or “our”) respect your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use our websites, mobile applications, Fan Vision features, voting features, polls, comments, support tools, sponsor inquiry tools, communications, and related services (collectively, the “Services”).

By using the Services, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Services.

1. Scope

This Privacy Policy applies to information we collect through the Services, including our website, mobile app, account features, voting and poll features, Fan Vision submissions, comments, notifications, support forms, sponsor inquiry forms, and other online features that link to this Privacy Policy.

This Privacy Policy does not apply to third-party websites, platforms, app stores, social networks, video platforms, sponsor websites, or other services that we do not own or control. Those third parties are responsible for their own privacy practices.

2. Information We Collect

We may collect the following categories of information, depending on how you use the Services.

Account and Profile Information

When you create an account, sign in, or update your profile, we may collect your name, email address, username, authentication credentials such as hashed passwords or login tokens, profile image, bio, general location, favorite sports, school or team preferences, notification preferences, and other profile details you choose to provide.

Voting, Poll, and Engagement Information

When you participate in award voting, polls, nominations, Fan Vision features, comments, replies, likes, reactions, shares, or other interactive features, we may collect information about your selections, submissions, comments, reactions, timestamps, account identifiers, device identifiers, IP address, and related activity. We may use this information to operate features, display results, prevent duplicate or fraudulent voting, moderate content, and maintain the integrity of contests, awards, polls, and other interactive experiences.

Fan Vision and User-Submitted Content

If you submit Fan Vision videos, images, photos, clips, captions, comments, or other content, we may collect the media file, title, description, sport, school, team, athlete or event name, submitted-by name, social handle, thumbnail, tags, metadata, upload date, review status, moderation notes, and related correspondence. Approved, featured, or published submissions may be displayed publicly through the Services and related State Champs channels.

Support, Feedback, and Bug Report Information

When you contact us, open a support ticket, submit beta feedback, report a bug, request help, or upload a screenshot or attachment, we may collect your name, email address, message, ticket details, attachments, app screen or page context, device information, platform, logs, and related correspondence.

Sponsor, Advertiser, and Business Inquiry Information

If you submit a sponsorship, advertising, partnership, or business inquiry, we may collect company name, contact name, job title, email address, phone number, website, message, logo, attachments, campaign interests, and related review information.

Mobile App, Device, and Push Notification Information

If you use our mobile app, we may collect device type, operating system, app version, installation identifiers, device identifiers, crash logs, diagnostics, notification tokens, notification preferences, and similar technical information. If you enable push notifications, we use notification tokens and preferences to send alerts, updates, content reminders, voting reminders, and other app notifications.

Technical, Usage, and Analytics Information

We may collect technical and usage information such as IP address, browser type, device type, operating system, user agent, referring page, pages or screens viewed, search terms, clicks, session activity, request timestamps, app interactions, error logs, crash reports, and similar information used to operate, secure, analyze, and improve the Services.

Cookies and Similar Information

We and our service providers may use cookies, pixels, SDKs, local storage, mobile identifiers, and similar technologies to keep you signed in, remember preferences, measure usage, diagnose issues, improve performance, protect against abuse, and understand how the Services are used.

Information From Third Parties and Public Sources

We may receive information from app stores, platform providers, analytics providers, schools, teams, coaches, event organizers, media partners, sponsors, public websites, public social media posts, or other users, where permitted. This may include team, school, event, athlete, score, schedule, image, video, or contact information used to operate and improve State Champs coverage and Services.

Sensitive Information

We do not intentionally request government identification numbers, financial account numbers, precise geolocation, health records, biometric identifiers, or other highly sensitive information through the Services unless a specific feature clearly asks for it and explains why it is needed. Please do not submit sensitive personal information through Fan Vision, comments, support forms, or other public or interactive features unless specifically requested by us.

3. How We Use Information

We may use information to:

  • Provide, operate, maintain, and improve the Services;
  • Create, authenticate, and manage user accounts;
  • Process votes, nominations, polls, award activity, and engagement features;
  • Display approved Fan Vision content, comments, likes, reactions, and related engagement;
  • Review, moderate, approve, reject, remove, or feature submitted content;
  • Personalize content based on sports, school, team, location, and notification preferences;
  • Send in-app messages, service notices, voting reminders, content alerts, and push notifications;
  • Respond to support requests, beta feedback, bug reports, privacy requests, and business inquiries;
  • Manage sponsor, advertiser, partner, school, team, and media relationships;
  • Analyze usage, diagnose technical problems, test features, and improve app and website performance;
  • Maintain security, prevent abuse, detect fraud, enforce voting rules, and protect the integrity of polls, contests, and awards;
  • Enforce our Terms of Use, Fan Vision Submission Terms, Community Guidelines, and other policies;
  • Comply with legal obligations, respond to lawful requests, resolve disputes, and protect our rights, users, athletes, schools, organization, and the public.

4. Public Content and Fan Vision

Certain information you submit may become public if you choose to participate in public features or if submitted content is approved for publication. Public content may include Fan Vision videos, photos, names associated with submissions, social handles, schools, teams, sports, event details, comments, replies, likes, reactions, votes where displayed, and other content you submit.

Please do not submit information, media, or comments that you do not want made public. Public content may be viewed, saved, copied, shared, indexed by search engines, or reposted by others. If you ask us to remove public content, we will review the request, but we may not be able to remove copies already saved, shared, indexed, or published by third parties.

Fan Vision submissions and other user-submitted content may also be subject to our Terms of Use, Fan Vision Submission Terms, and Community Guidelines.

5. How We Share Information

We do not sell personal information in the ordinary meaning of that term. We also do not knowingly sell or share personal information of users under 16. If our use of advertising, analytics, measurement, or similar technologies is considered a “sale,” “sharing,” or “targeted advertising” under applicable privacy law, we will provide required notices and choices.

We may share information in the following circumstances:

Service Providers

We may share information with trusted vendors and service providers that help us operate the Services, such as hosting, database, authentication, media storage, video processing, email delivery, push notifications, app distribution, analytics, diagnostics, customer support, security, moderation, and technical infrastructure providers.

Media, Cloud Storage, and Content Providers

Uploaded images, videos, screenshots, logos, attachments, thumbnails, and related metadata may be processed, stored, transcoded, delivered, or moderated by third-party cloud, media, storage, content delivery, or infrastructure providers.

App Store and Platform Providers

If you download or use our mobile app, Apple, Google, Expo, operating system providers, device providers, and related platform providers may process information according to their own terms and privacy policies.

Analytics and Diagnostics Providers

We may share technical, usage, device, crash, and diagnostic information with analytics and diagnostics providers to understand usage, fix errors, improve performance, and protect the Services.

Sponsors, Advertisers, Schools, Teams, and Partners

We may share aggregated, de-identified, or non-identifying information with sponsors, advertisers, schools, teams, media partners, or business partners. We may also share information you choose to submit to a sponsor, advertiser, school, team, partner, contest, promotion, or co-branded feature when you are notified or when the sharing is necessary to provide the feature you requested.

Legal, Safety, and Enforcement Purposes

We may disclose information if required by law, subpoena, legal process, court order, government request, or applicable regulation, or if we believe disclosure is necessary to protect users, athletes, minors, schools, teams, event participants, our organization, our rights, our property, or the public. We may also disclose information to investigate fraud, abuse, security incidents, voting manipulation, policy violations, or illegal activity.

Business Transfers

If we are involved in a merger, acquisition, financing, restructuring, reorganization, bankruptcy, sale of assets, or similar transaction, information may be disclosed, transferred, or processed as part of that transaction.

With Your Direction or Consent

We may share information when you direct us to do so, consent to the sharing, submit content for publication, participate in an interactive feature, or otherwise choose to make information available through the Services.

6. Cookies, Analytics, SDKs, and Similar Technologies

We and our service providers may use cookies, pixels, SDKs, local storage, mobile identifiers, device identifiers, and similar technologies to operate the Services, keep users signed in, remember preferences, measure usage, diagnose technical issues, protect against abuse, improve performance, and understand how users interact with the Services.

Your browser or device may allow you to block, delete, or limit cookies, identifiers, or tracking technologies. Some features may not work properly if these technologies are disabled. You can also manage app permissions, advertising identifiers, and notification settings through your device settings.

If we use advertising, retargeting, cross-context behavioral advertising, or targeted advertising technologies that require additional notice, consent, or opt-out rights under applicable law, we will provide the required choices and update this Privacy Policy as needed.

7. Mobile App Permissions and Push Notifications

Depending on the features you use, our mobile app may request access to your camera, photo library, media files, microphone, notifications, or device storage. We use these permissions only to provide the feature you choose to use, such as uploading Fan Vision content, attaching screenshots to support requests, saving media, or receiving push notifications.

You can manage app permissions through your device settings. If you disable a permission, some app features may not work as intended.

If you enable push notifications, we may send notifications about content updates, voting reminders, award activity, Fan Vision updates, account activity, service messages, and other app-related information. You can disable push notifications at any time in the app settings or through your device settings.

8. Account Deletion

If you create an account, you may request deletion of your account through the app by going to Settings › Account › Delete Account, through our account deletion page, or by contacting us at [email protected].

When your account is deleted, we will delete or de-identify personal information associated with your account, except where we need to retain certain information for legitimate purposes such as security, fraud prevention, voting integrity, moderation, legal compliance, dispute resolution, backups, archival records, enforcement of our terms, or other permitted operational purposes.

Deleting your account may not automatically remove all public content you submitted, such as published Fan Vision videos, comments, or content that has already been displayed, shared, archived, or reposted. You may request removal of certain user-submitted content by contacting us, and we will review the request subject to legal, moderation, archival, editorial, and operational limitations.

9. Your Choices and Privacy Rights

Depending on where you live and whether applicable privacy laws apply to us, you may have some or all of the following rights:

  • Request access to personal information we maintain about you;
  • Request correction of inaccurate personal information;
  • Request deletion of certain personal information;
  • Request a copy of certain personal information in a portable format;
  • Opt out of the sale or sharing of personal information, targeted advertising, or certain profiling, where applicable;
  • Limit certain uses or disclosures of sensitive personal information, where applicable;
  • Appeal a decision we make about a privacy request, where applicable;
  • Use an authorized agent to submit a request, where permitted by law.

You may also update certain profile information in the app, disable push notifications through app or device settings, manage app permissions through your device settings, and request help accessing, correcting, deleting, or removing certain information by contacting us.

To submit a privacy request, email us at [email protected] or use our privacy request form. We may need to verify your identity before processing your request. We will not discriminate against you for exercising privacy rights available under applicable law.

At this time, we do not knowingly sell personal information. If our practices change or if applicable law treats any of our analytics, advertising, or measurement activities as a sale, sharing, or targeted advertising, we will provide required opt-out mechanisms.

10. Children and Teens

The Services are intended for a general high school sports audience, including students age 13 and older, parents, guardians, fans, coaches, schools, teams, sponsors, and community members. The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

If you are under 13, do not create an account, submit Fan Vision content, upload media, vote, comment, send us personal information, or use interactive features of the Services.

If we learn that we have collected personal information from a child under 13 without required parental consent, we will take reasonable steps to delete that information. Parents or guardians who believe a child under 13 has provided information to us may contact us at [email protected].

Users under the age of majority in their state or country should use the Services only with permission from a parent or guardian. Parents and guardians are encouraged to supervise minors’ use of the Services, especially before minors submit media, comments, profile information, school information, social handles, or other content.

11. Student-Athlete and Media Content

State Champs covers high school sports and may publish content involving athletes, teams, schools, events, competitions, awards, highlights, interviews, images, videos, names, likenesses, scores, schedules, and related information.

If you submit media or other content, you represent that you have the rights, licenses, permissions, releases, and consents necessary to submit that content and that your submission does not violate the privacy, publicity, copyright, trademark, contract, school policy, athletic association rule, or other rights of any person or organization. This includes obtaining appropriate permission before submitting content that includes minors, student-athletes, coaches, officials, music, logos, school marks, or third-party footage.

We may remove, reject, edit, decline to publish, or stop displaying submitted content at our discretion. Removal from the Services may not remove copies already saved, shared, indexed, archived, or reposted by third parties.

12. Data Retention

We keep information for as long as reasonably necessary to provide the Services, manage accounts, process votes and submissions, operate Fan Vision, maintain records, respond to requests, resolve disputes, comply with legal obligations, enforce our terms, protect our rights, and support legitimate business operations.

  • Account information is generally retained while your account remains active.
  • Voting, poll, nomination, and award records may be retained as needed to operate features, verify results, prevent fraud, maintain contest integrity, and preserve audit records.
  • Fan Vision submissions, public posts, comments, likes, moderation records, and related content may be retained for as long as needed to operate the Services, preserve published content, enforce our rules, maintain editorial or archival records, and protect our rights.
  • Support tickets, bug reports, privacy requests, and business inquiries may be retained for a reasonable period for customer service, business records, legal, and operational purposes.
  • Technical logs, analytics, crash reports, and security records may be retained for a limited period or longer where needed for security, fraud prevention, debugging, legal, or operational purposes.
  • Backup copies may remain for a limited period before being overwritten or deleted according to our backup practices.

We may retain de-identified, aggregated, or anonymized information for analytics, reporting, research, business, and operational purposes where the information no longer identifies you.

13. Security

We use reasonable administrative, technical, and organizational safeguards designed to help protect information against unauthorized access, loss, misuse, disclosure, alteration, or destruction. However, no website, mobile app, internet transmission, server, database, or electronic storage system is completely secure, and we cannot guarantee absolute security.

You are responsible for maintaining the confidentiality of your account credentials and for notifying us if you believe your account has been accessed without authorization.

14. Third-Party Links and Services

The Services may link to, embed, or display content from third-party services, including app stores, YouTube, social platforms, analytics providers, sponsors, advertisers, schools, partners, and external websites. Third-party services may collect information directly from you or your device and may use cookies, SDKs, pixels, or similar technologies according to their own privacy policies.

We are not responsible for the privacy practices, content, security, or policies of third-party services. We encourage you to review the privacy policies of third-party services you use.

15. International Users

The Services are operated from the United States. If you access the Services from outside the United States, you understand that your information may be transferred to, stored in, and processed in the United States or other countries where we or our service providers operate. Privacy laws in those locations may differ from the laws in your location.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we update the policy, we will post the updated version with a new effective date. If changes are material, we may provide additional notice as appropriate, such as through the Services, by email, or by in-app notice. Your continued use of the Services after an update means you accept the updated Privacy Policy.
